Hi,

As I've said to wolf, the lecture theater has been booked for 260GBP (around 520USD). We will be requiring around 40GBP extra for other stuff, i.e. Gentoo Stickers, mugs and t-shirts (T-shirts/mugs will be the prizes given out at a Gentoo-themed pub quiz). This adds up to 300GBP, which is 600USD (rounded to the nearest 10). We will be asking for a donation of about 2GBP per person, and we expect to get at least 100GBP (low estimate) in donations, all of which will be paid back to the Gentoo Foundation.
 
As the Gentoo Foundation can only make payments via PayPal, the payments will need to be paid to one of the event co-ordinators, James Phipps (edit_21 on IRC). wolf31o2 has agreed that this is an acceptable solution. Any money remaining, plus the donations will be sent back to the Gentoo Foundation at the end of the event. I will attach a copy of the email with details and confirmation of the venue. The 260GBP includes a 94-seat lecture theater, with all 'extras' (i.e. networking, A/V, projector and so on) included in the price. The event will be held at the UCL, London, links to details on the lecture hall can be found in the attached email.

The event itself will be taking place on July 14th, 2007.

I agree with funding this, but I thought there was a request form for these events so the money could be allocated before a booking was placed?

There is a request form.  I had told Peter to fill one out and send it in (attached to this bug).

I'm not necessarily opposed, but my recollection was (and bug #136191 confirms) that in the past we've tried to fund about half of the meeting, with the rest of the funds coming from admission fees or sponsors.  The admission fee quoted here is the same as last year, but the expected cost to the Foundation is now notably higher (from the estimates provided).

We have already got part sponcership in a fassion via UCL's comp science dept who have booked the room internaly reducing the room rate from over £400 to £260. This also includes all AV equipment that we require during the bookng which is usualy extra.

As edit said, we have managed to reduce the costs by over £140. We will also be making requests for donations from the attendees, which will help to reduce the costs of the event.

Just to clarify, we *will* be donating any/all of the money raised on the day straight back to the Foundation. We need to pay for the venue before the day of the event, so we can't use any funds raised on the day to pay directly for the venue, so we *will* in effect be pay at least a portion of the price for the event.

(BTW, can someone change the product from Gentoo Linux to Foundation as requested when I opened the bug. I don't seem to be able to do it.
