Per request funding procedures I am filling a bug and will be attaching a completed funding request form. This is for a boot at the first ever Florida Linux Show. Your consideration and approval of this event is greatly appreciated.

I definitely approve.

What is the easiest way to get you this money? Would you prefer just pay for it and we reimburse you? You've already gotten pre-approval from 3/5 trustees, so this is already approved, in essence. This bug is pretty much a formality so nobody can say we didn't follow procedure.

No real preference here. If there is a way to get the Foundation to pay for it directly that would be ideal :) Otherwise I can make arrangements to pay for it now and seek reimbursement. Either way I am flexible. I would just assume for proper accounting purposes and all, payment go directly if feasible. Less to explain after the fact if someone is say conducting an audit of foundation expenses or etc. Same goes here, not to mention I rare do reimbursed things for my clients :)

Basically just have to send in a check or etc with a filled out PDF form. I can see about filling out the form and submitting to a trustee that would be sending out check/payment? That being said the form doesn't require like a signature, so anyone can fill it out on my behalf or etc.

Grant, do you have time to do this and send out a check?

Sorry, I was out of town.

It's fastest for me to paypal funds to wltjr, since an actual check is required, because I never got around to ordering actual checks for our account. (The debit card has sufficed so far.) If they'll take plastic (and I'm just missing it), or if we can have a check sent to them from the bank (but then the application would arrive separately), then I can take care of it directly.

Let me contact Rob, person I have been dealing with so far about the show. I would imagine they are ok with payment and application arriving separately. Given how things are. If not, then we can surely have the funds sent to me and I will cut a check or etc to them.

Ok sorry for delay. As long as payment and a filled out copy of the agreement arrive within 15 days of each other we should be fine. So if you want to go ahead and send payment when ever. Then let me know and I will fill out and send in agreement. From there we should be all set :)

Thanks for all efforts so far on this, and event backing. Much appreciated, I will make sure to do my part with a good presence and etc.

Payment info so you don't have to go hunt it down :)

Beachside Technical Media, Inc.
1835 US Hwy 1 S
Suite 119, Box 273
St Augustine, FL 32084

Just to state the obvious, likely want to put a note on payment that it's for a booth for Gentoo at the Florida Linux Show. I doubt there will be any problems, not a huge event and I am only dealing with a single person there so far.

The don't state whom the make the payment out to, so I would just make it payable to Beachside Technical Media, Inc. And again for confirmation, it's $400, $50 discount for .org from normal price of $450.

Sent, should arrive on 2 Oct (or thereabouts).

Great thanks much Grant. I will fax in app tomorrow morning ( Oct 1st ) first thing.
Comment 11 William L. Thomson Jr. (RETIRED) gentoo-dev 2007-10-01 17:46:53 UTC
So much for first thing, but did fax in agreement a bit ago. I have asked for confirmation on arrival of payment. Pretty sure they will confirm booth either way. We should be all set. Thank you very much to everyone for approval and covering the expenses of the show. I will make sure to do my part and recruit others to man the booth with me and ensure we have a professional presence at the show.

I will get with PR or etc closer to the event to coordinate shipment of the Gentoo banner for the booth. And any other PR material or etc you all want me to have at the booth that I do not have. I plan to purchase a stack of blank cdroms and have some livecd's and etc to hand out at the show. Anything beyond that I would need to get sent to me. Like those mid-sized info cards we hand out. Not sure if business cards are necessary or not. Although I think they tend to be shipped together.

I will immediately after show ship back banner and any unused PR material to whom ever it needs to go to next. I may hang on to the stuff if I go to Fosdem, since I think that's the only other event in February. But there is enough time in between the two events in February for me to ship it else where if need be.
Comment 12 William L. Thomson Jr. (RETIRED) gentoo-dev 2007-10-11 23:14:29 UTC
Received confirmation today. Not sure exactly on booth #, but that's moot. Otherwise we should be good to go. I will starting inquiring about the banner and any other PR stuff I should have for the event come January.

Closing, since we have confirmation
